#31 Plot Twist: Your AI Assistant Works Through Summer Vacation (So You Don't Have To) 🤖

Automating the End-to-School-Year Reflection Process & Creating Better Systems for Fall: A Complete Guide for Educators and Administrators

Lesson Objectives

  • Automate your end-of-year reflection and teaching analysis using AI tools

  • Implement separate prompt sets designed specifically for teachers and administrators

  • Create robust systems for fall planning while minimizing your actual summer workload

Do Now

Before we get started, take a moment to acknowledge the exhaustion you're feeling as we count down to summer break. Take a deep breath and recognize that the investment of just a few hours now, with AI assistance, can save you dozens of hours of planning in August. This newsletter isn't about adding more to your plate; it's about setting up systems that work while you rest.

What We’re Working with Today

Today we'll explore two powerful prompt collections, one for classroom teachers and one for school administrators, that transform end-of-year reflection into actionable plans for fall. These AI tools will help you analyze what worked (and what didn't) this school year, and then automatically generate customized planning materials for next year.

The best part? Once you set these systems up, they continue working in the background while you enjoy your well-deserved summer break.

I Do, We Do, You Do

I Do: Here’s What I Created

This week, I completed a brain lift task that required deep thinking and analysis. During my reflection, I was asked how AI tools enhanced my productivity and improved the quality of my response. That's when it hit me… the ease of completing this complex task wasn't just about the technology, but about how deeply AI has become ingrained in my everyday workflows.

What I've discovered is that with strong prompting frameworks and clear objectives, AI transforms into so much more than just a text generator. It becomes a project manager tracking my progress, an editor refining my ideas, a thought partner challenging my assumptions, and a co-pilot navigating complex tasks (like coding an app) alongside me.

The power isn't in asking AI to "do the work for me," but in positioning these tools in strategic support roles that amplify my unique expertise and creativity. Just as a great administrative assistant doesn't replace an executive but makes them more effective, AI doesn't replace educators, it elevates what we can accomplish.

We Do: Let’s Build This Together

Follow this step-by-step guide to create your own AI-powered summer planning system:

For Teachers (use in the same conversation thread):

  1. Create your Year-End Analysis Template

I need to analyze my teaching effectiveness for [grade/subject] during the 2024-2025 school year. Based on the following data points, help me identify patterns, strengths, and areas for improvement:

- Student assessment results: [briefly summarize or upload without names/other identifying information]
- Instructional strategies used: [list your main approaches]
- Classroom management techniques: [describe what you tried]
- Parent feedback highlights: [summarize key points]
- Personal observations: [your own reflections]

Organize your analysis into: (1) What worked exceptionally well, (2) What showed mixed results, (3) What needs significant revision, and (4) Unexpected outcomes worth exploring further.
  1. Generate Your Fall Implementation Plan

Based on the analysis of my teaching effectiveness for [grade/subject], create a detailed implementation plan for Fall 2025 that:

1. Builds upon the successful strategies identified (specifically [mention 2-3])
2. Refines the approaches that showed mixed results (particularly [mention 1-2])
3. Replaces ineffective methods with research-backed alternatives
4. Incorporates at least 2 innovative approaches I haven't tried before

Format this as a week-by-week implementation timeline for the first quarter, with specific success metrics for each strategy.
  1. Create Your Summer Prep Checklist

Generate a minimal-effort summer preparation checklist that will set me up for success with my Fall 2025 implementation plan for [grade/subject]. The checklist should:

1. Identify the absolute essential tasks that must be completed before school starts
2. Break these tasks into 15-30 minute micro-tasks that can be accomplished in short sessions
3. Suggest optimal timing for each task (early summer, mid-summer, late summer)
4. Include automation opportunities that could eliminate or reduce manual work
5. Recommend resources I should gather or create ahead of time

Format this as a digital checklist I can easily track throughout the summer.
  1. Design Your Student Transition Document

Create a comprehensive yet concise student profile template that I can use to:

1. Document key information about each student's learning journey this year
2. Highlight specific strengths, challenges, and effective support strategies
3. Provide actionable insights for next year's teacher

The template should be structured, easy to complete, and focused on information that will genuinely help the receiving teacher support each student effectively from day one.

Want to take it one step further? Ask Claude to build you an app that can complete one of these tasks, or ask Grok or ChatGPT to generate a strong initial prompt to use in Lovable to build out the app.

For Administrators:

  1. School-Wide Performance Analysis

As a school administrator, I need to analyze our school's performance for the 2024-2025 academic year. Using the following data points, help me identify patterns, strengths, areas for improvement, and strategic opportunities:

- Academic achievement metrics: [summarize key data]
- Attendance and behavior data: [provide overview]
- Teacher retention and satisfaction: [share relevant stats]
- Parent and community engagement: [describe current state]
- Resource allocation and utilization: [outline current approach]
- Special program outcomes: [summarize results]

Organize this analysis into: (1) Institutional strengths to leverage, (2) Critical areas requiring intervention, (3) Emerging opportunities to explore, and (4) External challenges to address.
  1. Strategic Initiative Planning

Based on our school's 2024-2025 performance analysis, develop 3-5 strategic initiatives for the 2025-2026 academic year that will:

1. Address our most critical areas for improvement
2. Build upon our institutional strengths
3. Align with district/state priorities and requirements
4. Be feasible within our resource constraints

For each initiative, include: specific objectives, key performance indicators, required resources, implementation timeline, staff responsibilities, and potential obstacles with mitigation strategies.
  1. Summer Administrative Workflow

Create an optimized summer administrative workflow that will allow our leadership team to:

1. Complete essential end-of-year processes efficiently
2. Properly prepare for our strategic initiatives
3. Ensure staff have what they need for a strong start in fall
4. Allow for adequate rest and rejuvenation for the leadership team

The workflow should include a week-by-week calendar with clear task ownership, automated processes wherever possible, and contingency plans for unexpected situations.
  1. Professional Development Framework

Design a comprehensive professional development framework for the 2025-2026 school year that:

1. Directly supports our strategic initiatives
2. Addresses identified staff skill gaps
3. Builds upon existing teacher strengths
4. Incorporates a balance of whole-staff, team-based, and individualized learning
5. Maximizes impact while respecting teacher time constraints

Include an implementation plan with specific PD activities, scheduling recommendations, resource requirements, and success metrics.

Same as above, if you want to take it one step further, ask Claude to build you an app that can complete one of these tasks, or ask Grok or ChatGPT to generate a strong initial prompt to use in Lovable to build out the app.

You Do: Your Mini Task for the Week

Now it's your turn! Before the school year ends, take 30 minutes to complete this mini-project:

  1. Choose either the Teacher or Administrator reflection prompt (step 1) from above

  2. Input your basic data points and generate your year-end analysis

  3. Review the results and make notes about what resonates as accurate and what might be missing

  4. Save this document as the foundation for your summer planning system

This small investment now will give you a head start on your reflection process and set you up for more efficient planning throughout the summer. And if you’ve been wanting to take a swing at building an app, summer is the perfect time to give it a try!

What I’m building this summer (maybe one of these ideas will spark some inspiration in you too):

  1. AURA AAC, the AI-powered AAC app

  2. Continuing to improve the AAC Icon Generator

  3. Continuing to improve the AI Social Stories App

  4. A multi-user chat app that allows teachers to start a conversation with an LLM and assign a task that students complete in their own individual ‘forked’ threads.

  5. AI Case Manager - this is the big one that we plan to start in the Bolt.new hackathon coming up!

  6. Other ideas that come up (maybe work on the articulation transcription app I had prototyped)

Think-Pair-Share

  • Think about the three most significant challenges you faced this school year. How might AI tools help you develop better systems to address these challenges next year?

  • Pair up with a colleague (perhaps someone in a similar role) and exchange your year-end analyses. What patterns do you notice? What solutions could you develop together?

  • Share your ideas with our community of educators and connect with other Edumators who are transforming their classrooms with AI and automation.
